Maintaining Memories Donation Program

The City’s Maintaining Memories Donation Program gives residents an opportunity to celebrate life events while supporting parks and green spaces throughout the community.

Donors may choose from several commemorative options, including:

  • Memorial trees
  • Memorial benches
  • CN and Memory Lane stones
  • Memorial picnic tables

Donations may recognize marriages, births, deaths, graduations, anniversaries, retirements, birthdays, baptisms or other meaningful occasions.

All commemorative items are installed and maintained by the City of Belleville, subject to approval, location availability and installation schedules.

Most developed park spaces can accommodate memorial trees except:

  • Argyll Park
  • Caniff Mills Pipeline
  • Connor Parkette
  • Corby Park
  • Driscoll Parkette
  • Duff Park
  • Freestone Point
  • George Ellis Athletic Fields
  • Hampton Ridge Storm Water Pond and Recreation Trail
  • Jane Forrester Park
  • Kiwanis East Bayshore Trail
  • Mercedes Drive Storm Water Pond and Recreation Trail
  • Mountain Ash Storm Water Pond and Recreation Trail
  • Quinte Exhibition Park

$800 (including the tree marker)

Tree Marker Specifications

Size: 8 x 6.75 x 2.5 inches
Material: Stanstead Gray granite
Lettering: Black

Important Information

  • Trees are planted only in approved park spaces.
  • Tree placement is evaluated for safety and infrastructure considerations.
  • Trees are not planted in natural or woodland areas.
  • Tree species may be selected from the approved donation form list, subject to nursery availability.
  • Plaques are optional and not included with the tree donation.
  • Any plaque purchased separately must meet City of Belleville standards.
  • Ashes, flowers, decorations and memorial items are not permitted near or on trees and will be removed.
  • The City may relocate a donated tree if required. Parks staff will contact the donor to discuss alternative locations.

Application Deadline

Applications must be received by July 1 for planting between mid-October and Dec. 1.

Applications received after July 1 will be considered for the following year.

How the Process Works

  1. Submit the donation form.
  2. The City reviews the application and confirms location availability.
  3. Payment instructions are provided after approval.

Most developed park spaces can accommodate memorial benches except:

  • Corby Park
  • Freestone Point
  • Kiwanis East Bayshore Trail
  • Zwick’s Centennial Park (new locations other than approved areas)

Cost

$4,000 (including the bench, concrete slab and plaque)

Plaque Specifications

Size: 7 x 4 3/8 x 1/4 inches
Installed in the centre of the bench back

Important Information

  • Bench installation may take up to five months and includes production and delivery, utility locates, installation of a precast concrete pad and bench installation. Production timelines depend on supplier availability.
  • Bench placement must comply with the Accessibility for Ontarians with Disabilities Act (AODA).
  • Locations are selected based on existing recreational trails, except in dog parks.
  • Ashes, flowers, decorations and memorial items are not permitted near or on benches and will be removed.
  • The City may relocate benches if required. Parks staff will contact donors to discuss alternative locations.
  • The City will make reasonable efforts to remove graffiti promptly.
  • Repairs and replacement after two years are at the City’s discretion based on damage severity.
  • Approved locations are held for 30 days pending payment.

CN Stones

CN stones are installed near the CN Monument along the Kiwanis East Bayshore Trail at the end of South Foster Avenue.

Memory Lane Stones

Memory Lane stones are installed along the turtle pond section of the Kiwanis East Bayshore Trail or at Corby Park.

  • The City does not accept placement requests.

General Terms and Conditions

Program Administration

The City of Belleville reserves the right to approve or deny any donation request.

The City determines:

  • Final approval
  • Item specifications
  • Installation locations

The City may relocate donated items if necessary. Donors will be contacted to discuss alternative locations.

All donated items and plaques become property of the City of Belleville.

Memorial Plaques

Standard memorial plaques are required to maintain consistency in:

  • Cost
  • Size
  • Materials
  • Installation method

Plaque wording must be approved by the City before installation.

Ceremonies and Gatherings

Ceremonies and gatherings are permitted; however, they cannot take place on the installation day for safety reasons.

Gatherings of 25 people or more must be arranged through Facility Bookings in accordance with Parks By-law 2020-28.

Memorial Items

Ashes and memorial items are not permitted under, near or on donated items.

Installation Scheduling

Installation dates cannot be guaranteed due to:

  • Weather conditions
  • Supplier timelines
  • Park construction
  • Special events

The City will provide confirmation after installation is complete.

The City will replace commemorative trees at no cost within three years of planting if the tree:

  • Does not survive
  • Is damaged
  • Is vandalized

The City will maintain commemorative benches for up to five years at no cost to the donor.

If replacement is required after that period, the donor will be offered the first opportunity to purchase a replacement bench.

Bench Plaques

  • Plaque repairs or replacement after two years are the donor’s responsibility.
  • The City will cover one replacement if the plaque is stolen or vandalized.

If a stone is damaged, the donor will be offered the first opportunity to purchase a replacement.

The City is not responsible for replacement costs.

The City will make reasonable efforts to remove graffiti promptly.

Repairs and replacement after two years are at the City’s discretion based on the severity of damage.

Charitable Tax Information

Donations made through the Maintaining Memories Donation Program qualify as charitable tax deductions.
